The Administration & Membership Executive plays a key role in ensuring the smooth and efficient operation of the church’s administrative functions. The Administration & Membership Executive will be responsible for managing office and administration policies and processes.
This role reports directly to the Administration & Membership Manager.
Responsibilities include, but are not limited to:
- Support the Administration & Membership Manager in developing and implementing policies and standard operating procedures (SOPs) to ensure consistent and efficient administration across the church.
- Provide general administrative support to the church office and the various ministries of the church.
- Handle incoming calls, emails, and other communications.
- Organise, maintain, and update databases, ensuring accuracy and confidentiality.
- Arranging and coordinating bereavement services, water baptism and membership classes for members of the church.
- Facilitate Follow-Up Ministries by ensuring the completion of all follow-up requests, enhancing processes, and managing reporting.
- Assist with management and governance of all electronic and non-electronic personal data, in accordance with the Personal Data Protection Act.
- Oversee coordination and provide assistance to volunteers, guiding them through various administrative duties.
- Support and assist with special projects (where applicable) and any other duties as assigned.
Skills and Qualifications:
- Candidate must possess at least Diploma/ Bachelor’s Degree in administrative management, or equivalent.
- 1-3 years of related experience in administration or mass communications.
- Proficiency in office management software (e.g., Excel, Words, PowerPoint).
- Willingness to learn the church management software/ tools to enhance efficiency.
- Candidate with the ability to draft policies and standard operating procedures (SOPs) will be preferred.
- Strong organisational and time-management skills with the ability to prioritise tasks.
- Strong verbal and written communication skills in English, and preferably, Mandarin.
- Self-starter with a good learning attitude, and a strong team player.
- Able to work in a fast-paced environment and multi-task effectively.
- Able to work on weekends and be involved in our church services on Sundays (5-day work week).
